Create and manage waivers

Create a waiver template, publish new versions when the text changes, track which members have signed, and send reminders.

The Waivers page shows all active waiver templates for your gym, the signing status of every active member against each template, and your overall coverage percentage.

Create a waiver template

  1. Click Manage Templates in the top-right of the Waivers page.
  2. In the Manage Templates panel, click New Template.
  3. Enter a Name (for example, Participation and Liability Waiver).
  4. Write the waiver body in the rich-text editor. This becomes version 1.
  5. Tick Required if check-in should be blocked for members who have not signed this template.
  6. Click Save Template. The template appears in the list and version 1 is set as current.

View signing status

Each template card on the Waivers page shows a progress bar and a table of active members with their status:

Send a reminder

  • To remind a single member: click Send Reminder on their row. A draft reminder campaign is created and sent immediately.
  • To remind all unsigned or expired members on a template: click Send Reminders on the template card header.

Publish a new version

When your waiver text changes, publish a new version rather than editing the existing one. All previous acceptances are preserved as a historical record.

  1. Open Manage Templates and select the template to update.
  2. Click Edit on the template row, then choose Publish New Version.
  3. Edit the waiver body in the editor.
  4. Choose a re-signing option:
    • Notify only — sends a reminder to unsigned or expired members; signed members keep access until their acceptance expires.
    • Block until re-signed — sends a campaign to all members and blocks check-in until the updated version is accepted.
  5. Set a Grace period (days) if using the block option.
  6. Click Publish. The new version is marked as current and a campaign is queued for the recipients.

Archive a template

  1. Open Manage Templates and find the template to archive.
  2. Click the row action and select Deactivate (or Archive, depending on your version).
  3. Deactivated templates are no longer shown on the member's document list and are removed from check-in eligibility checks.
