When it's about a child, you're talking to their parent.
Real conversations between your gym and your members, in the app they already use. One shared inbox, so reception and coaches answer from the same place. No personal numbers, no group chat that nobody can find later.
One shared inboxGuardian addressed automaticallyHistory on the member record
The shared inbox. Leo is nine, so the thread is addressed to his mum.
The bit every other system gets wrong.
Messaging is easy until a child is involved. Then it matters a great deal who receives the message, who can reply, and where the conversation ends up. Base Control decides that for you, every time.
01
The right person gets it, without anyone checking
Message a junior member and it goes to their guardian, addressed to the guardian, not to the child. Message an adult and it goes to them. Nobody on your desk has to remember the difference or look up who the parent is.
Anything about a member under your minimum age is addressed to their guardian
Guardians can reply on the child's behalf, and the thread names who they are
Children under the age threshold never get a login, so they never get the message
02
One inbox, not five phones
Reception, coaches and the owner work the same inbox. Open, closed, or all: you can see what still needs an answer and what has been dealt with. A conversation gets closed when it is done, and reopens the moment someone replies.
Filter by open, closed, or everything, and search by member name
Whoever is on the desk can pick up a thread a coach started
Nothing lives on a personal phone, so nothing walks out when a coach leaves
03
The history sits where you would look for it
Every conversation is attached to the member's record, next to their memberships, attendance and grades. Six months later, when you need to remember what was agreed about a paused membership, it is on their profile rather than in someone's messages.
The full thread on the member's profile, not in a separate tool
Threads can be about a specific person in the family, so a parent's inbox stays readable
Members see the same conversation in their own portal
04
Members can start the conversation too
It is not a broadcast channel. A member can ask whether there is an open mat on Saturday, or tell you their son will miss Thursday, from their portal. It lands in your inbox with their whole record one click away.
Members and parents message you from the app, no email thread to lose
You know who they are, what they hold, and whether they are paid up, before you reply
Announcements to a whole class still go out separately, so notices do not clog the inbox
What it replaces.
None of this is exotic. It is the three habits every gym falls into when the software has no messaging worth using.
Instead of
Your own mobile number
Two hundred members with your personal number, texting at 10pm. When a coach leaves, half your member relationships leave in their phone.
Instead of
A group chat per class
Fourteen chats, nobody sure which one a parent is in, and no way to find what was said about a membership three months ago.
Instead of
Messaging a nine-year-old
Systems that treat a junior member as the account holder, so billing and absence messages go to a child who does not have a phone.
The questions owners ask.
Do members need to install an app?
No. The member portal opens in any modern phone browser and they can add it to their home screen. There is nothing to download from an app store.
Can a coach see every conversation?
Coaches and reception share the inbox, which is the point. What each role can see and do is set by their permissions, so you decide who has access.
What if a parent and their teenager both have logins?
Both can hold their own login once the member is over your minimum age. A thread can still be marked as being about a specific family member, so it is clear who the conversation concerns.
Is this the same thing as campaigns?
No, and deliberately so. Campaigns and announcements go out to a group you choose. Messaging is a conversation with one person. Keeping them apart is what stops your inbox filling with notices.
Give your members a way to reach you that isn't your mobile.
