When a gym owner or administrator adds you as a staff member, you receive an invite email. Clicking the link in that email takes you to a page where you set a password and activate your account.
Before you start
- Look for an email from Base Control with the subject line about activating or setting up your account.
- The link in the email is single-use and expires after a limited time. If it has already expired, ask the gym owner to resend the invite.
Activate your account
- Open the invite email and click the activation link. You're taken to the Set up your account page.
- In the Password field, choose a strong password of at least 10 characters.
- Re-enter the same password in Confirm password.
- Select Activate account.
When activation succeeds, you see a confirmation — "Account activated!" — and a Go to login button.
Sign in for the first time
- Select Go to login (or navigate to the admin sign-in page directly).
- Enter your Email address and the Password you just set.
- Select Sign in.
Set up MFA (required for staff and owner accounts)
Staff and owner accounts must use multi-factor authentication (MFA). On first sign-in — or the next time you sign in — you are prompted to enrol. You have two options:
- Authenticator app: select Enable MFA, scan the QR code with an authenticator app (Google Authenticator, Authy, Microsoft Authenticator, or 1Password), then enter the 6-digit code to confirm.
- Passkey: add a passkey under Settings → Profile in the Security section. Touch ID, Face ID, Windows Hello, and security keys are all supported. A registered passkey satisfies the MFA requirement without a separate authenticator app.
Save your backup codes when they are shown — they are displayed only once.
Notes
- If the invite link shows an error when you open it, see My invite link is expired or invalid.
- To add a passkey for faster sign-ins going forward, see Manage your security (MFA, passkeys, sessions, password).
