You clicked the link in your staff invite email and see an error — "This invite link has expired or is invalid. Please ask your administrator to resend the invite." This is a common situation and is straightforward to fix.
What's happening
Staff invite links are single-use tokens. They become invalid for any of these reasons:
- The link has already been used to activate an account.
- The link expired before you used it — invites have a limited validity window.
- The URL was cut off or modified in the email (some email clients wrap long URLs across lines).
- The gym owner sent a follow-up invite, which invalidates any earlier invite for the same email.
How to fix it
- Check whether your account is already active. If you've previously used the link or received multiple invites, your account may already be set up. Try signing in at the admin sign-in page with your email and the password you chose. If you don't have a password yet, request a reset link using Forgot password?
- Ask the gym owner to resend the invite. The owner can do this from Settings → Staff by finding your entry and issuing a new invite. You'll receive a fresh email with a new link.
- Use the link promptly once it arrives. Open the email on the device you intend to use and click the link without delay to avoid it expiring again.
- Check the full URL is intact. If the link broke across lines in your email client, copy the entire URL manually into your browser address bar.
If you still see an error after a fresh invite
Contact the gym owner and confirm:
- The email address on the invite matches the one in your inbox.
- You're clicking the most recent invite email, not an older one.
If the problem persists, the gym owner should contact support. For what to do once your link works, see Accept a staff invite and set up your account.
