A member's record holds everything you need to manage their enrolment. You can update their contact details, add a photo, manage tags, and track their onboarding readiness — all from the same page.
Open a member's record
- Go to Students in the sidebar.
- Find the member using the search bar or filters, then select their row.
- Their record opens on the Summary tab.
Edit contact details and name
- From the member's record, select Edit Member — either from the primary action button or from Actions in the top-right.
- The Edit Member Profile drawer opens. Update any of the following:
- Given Name and Family Name (both required)
- Preferred Name (displayed alongside the full name)
- Email (required — used for portal access and notifications)
- Phone
- Address, Suburb, State, Postcode
- Select Save Changes.
Add or update a photo
- Open the member's record.
- Below the avatar, select Add Photo or Update Photo.
- Choose a file from your device. The photo updates immediately.
Update notes
Notes are visible to staff only and are not shared with the member.
- Open the Summary tab on the member's record.
- Find the Quick Notes card. Edit the text in the notes field.
- Select Save Notes.
Recent note changes are listed in the Recent Note History section below the field.
Manage tags
Tags let you group and filter members.
- Open the member's record.
- In the Profile tab, find the tags section. Add or remove tags as needed.
- Changes save automatically.
Check onboarding readiness
The Arrival Readiness card on the Summary tab shows three items that must be complete before a member can train:
- Profile details — phone, date of birth, and contact email filled in.
- Portal account — the member or guardian can sign in.
- Waiver — any required waiver steps are complete.
If an item shows amber (not complete), select Send Prep Link to email the member or guardian a secure link so they can finish their setup from their own device.
Archive a member
Archiving removes a member from active lists but keeps their data.
- From the member's record, select Actions, then Archive Member.
- Confirm by selecting Archive.
