Convert a lead to a student

Move a prospect through the lead pipeline and turn them into an enrolled member record.

The Leads page is a Kanban pipeline for managing prospects from first enquiry through to enrollment. Each lead moves through stages: New, Contacted, Trial Booked, Trial Attended, Converted, and Lost.

Open the leads pipeline

Go to Comms, then select Leads from the sub-navigation. Use the summary cards and the search box above the board to narrow the view (for example, Needs first contact, Follow up today, or Ready for member setup).

Add a new lead

  1. Click Add Lead.
  2. In the Add Lead panel, enter the prospect's First Name and Last Name, and at least one contact method (Email or Phone).
  3. Select a Program Interest and a Source (for example, Walk-in or Referral).
  4. Optionally add Notes.
  5. Click Add Lead. The card appears in the New column.

Move a lead through the pipeline

Each card has the buttons that make sense for its current stage. Click a button to advance the lead, or drag the card to another column:

There is no "Move to" dropdown — use the stage buttons or drag the card. You can also open a card to see the same actions in its detail panel.

Turn a lead into a member record

Convert only moves the lead to the Converted stage — on its own it does not create a member. To create (or open) the member record, use Prepare Enrollment:

  1. Open or find the lead card once it has reached Trial Attended (or Converted).
  2. Click Prepare Enrollment. Base Control creates a member record from the lead's name and contact details and links it to the lead.
  3. The button then reads Open Member Record — click it to jump straight to the member, where you can set up their membership and billing.

Mark a lead as lost

  1. On a lead card in any active stage, click Lost. (There is no loss-reason prompt.)
  2. The card moves to the Lost stage and drops out of the open pipeline view.

Export all leads to CSV

  1. Click Export CSV at the top of the page.
  2. A leads.csv file downloads with all current leads, including name, contact, stage, source, and enquiry date.
