My CSV import rejected some rows

Why the import preview flags rows in red and how to fix or skip them before importing.

You uploaded a CSV and the Preview step flagged some rows in red, or your import finished with rows under Failed or Skipped. Here's how to clear them.

What's happening

The import runs in stages, and the Preview stage validates every row before anything is saved. Rows with a problem get a red and are excluded from the import until you fix them. Only rows showing the green tick (valid) get imported when you confirm.

Common reasons a row is flagged:

  • First Name or Last Name is blank (both are required).
  • Email isn't a valid address.
  • Mobile Phone / Emergency Phone isn't a valid Australian number (for example a mobile in the form 04xx xxx xxx).
  • Date of Birth isn't DD/MM/YYYY or YYYY-MM-DD, or is in the future.
  • State isn't one of NSW, VIC, QLD, SA, WA, TAS, NT, ACT.
  • Postcode isn't 4 digits.

How to fix it

  1. On the Preview step, look at the summary bar: it shows how many rows are valid, errors, and skipped. Hover the red on a row to see exactly which field failed and why.
  2. Fix it inline. Click the cell with the bad value and type the correct one, then press Enter. The row re-validates instantly — once it's clean it turns into a green tick and joins the import.
  3. Or skip the row. Use the skip control on the row to leave it out of this import entirely. Skipped rows are reported separately and don't block the others.
  4. When the valid count looks right, select Import [N] Members. The Results step shows Imported, Failed, and Skipped counts, and lists any failed rows with the reason.

Also check the limits if the whole file was rejected at upload: the file must be a .csv under 5 MB, with at most 500 rows, and must have a header row plus at least one data row.

A note on Program and Membership Plan columns: these must match names that already exist in your gym. If they don't match, the member can still import but won't be linked to that program or plan — set those up first if you want them applied automatically.
