Automations run a sequence of steps automatically when a trigger condition is met — for example, sending a welcome email when a new member joins. They are different from campaigns, which you send manually to a fixed list.
Open the automations list
Go to Comms, then select Automations from the sub-navigation. The list shows all automations for your gym: their trigger, status (Active or Inactive), and step count.
Create an automation
- Click New Automation.
- Give the automation a descriptive Name (for example, Welcome — New Members).
- Choose a Trigger from the dropdown — this is the event that starts the automation.
- Add one or more steps using Add Step. Each step can be an email, SMS, or internal task.
- For each step, set the Delay (how long to wait after the trigger or previous step) and fill in the content fields.
- Click Save. The automation is saved as Inactive so you can review it before turning it on.
Activate or deactivate an automation
- Find the automation in the list.
- Toggle the Active switch on that row.
- A confirmation toast confirms the new state. New trigger events will only fire automations that are Active.
Edit an existing automation
- Click the automation name to open its detail page.
- Edit the name, trigger, or any step.
- Click Save. Active automations apply the updated steps to any new trigger events — existing queued deliveries are not changed.
Duplicate an automation
- Open the automation's row actions (three-dot menu on the right of the row).
- Select Duplicate.
- The copy is created as Inactive with the same name prefixed by Copy of. Rename and adjust it before activating.
Archive an automation
- Open the row actions menu.
- Select Archive. Archived automations no longer fire and are hidden from the default list view.
- Use the Archived filter to view or restore them.
