Create and execute scheduled actions

Use the three-step wizard to schedule a bulk pause, bulk resume, or single-membership pause for a filtered group of members, then monitor execution.

Scheduled actions let you queue membership changes for a group of members — for example, pausing all memberships in a specific program before a gym closure, then resuming them on a set date. Each action goes through a three-step wizard: Action Type, Filter & Parameters, and Confirm & Schedule.

Open scheduled actions

Go to Scheduled Actions from the automation navigation. The list shows actions grouped by status: Pending, Running, Completed, Partial, Failed, and Cancelled.

Create a new scheduled action

  1. Click Schedule New.
  2. The wizard opens on Step 1 — Action Type. Choose one:
    • Pause memberships — temporarily pause memberships for a filtered group.
    • Resume memberships — resume paused memberships for a filtered group.
    • Pause one membership — queue a deferred pause for a single member's membership.
  3. Click Next: Filter & Parameters.

Step 2 — Filter & Parameters

  1. Build the target filter using one or more of the available options:
    • Program — narrow to members enrolled in a specific program.
    • Plan — narrow to members on a specific membership plan.
    • Tags — narrow to members with a specific tag.
    • Members — select specific members by name search.
    • For Pause one membership, search and select the specific member and choose their active membership from the list.
  2. For a pause action, set the Pause end date — the date memberships will be scheduled to resume.
  3. Optionally add a Reason for the action (visible in audit history).
  4. Click Preview to run a preflight check. The preview shows which members are Eligible (the action will apply) and which are Skipped (with the reason, such as already paused or not matching the filter).
  5. Review the preview carefully, then click Next: Confirm & Schedule.

Step 3 — Confirm & Schedule

  1. Set the Scheduled for date and time — when the action should execute.
  2. Review the summary: action type, eligible count, skipped count, and scheduled time.
  3. Click Schedule Action. The action is saved with status Pending.

Execute an action immediately

If you need an action to run now rather than at a scheduled time:

  1. Find the action in the Pending list.
  2. Click Run Now on its row.
  3. The status moves to Running and then to Completed (or Partial if some memberships were skipped during execution).

View execution results

  1. Click the action row to open the detail panel.
  2. The Execution result section shows Succeeded, Failed, and Skipped counts, with per-member details for any failures.

Cancel a pending action

  1. Find the action in the Pending list.
  2. Click Cancel on the row or in the detail panel.
  3. Confirm the cancellation. The status moves to Cancelled and the action will not execute.
